Build

The assigned dev partner (Mahmoud Zoair, Mostafa Hammad, or Seif Khalifa) builds the automation based on the approved Notion requirements.

Rules during the build:

  • All customer questions go through the PM — dev does not contact the customer directly
  • Dev posts a daily async update in Discord #dev
  • PM updates the customer — minimum once per week
  • Any scope changes must be flagged to the PM immediately — never resolved silently

UAT (User Acceptance Testing)

Owner: Assigned PM | Trigger: Dev posts in #dev: “Build complete — ready for UAT”

The PM runs UAT — not the customer.

UAT Checklist

  • All agreed scenarios run correctly end-to-end
  • Output appears correctly in all destination systems
  • Edge cases handled — missing data, unexpected input
  • Error handling works — failures alert correctly
  • The automation does exactly what was agreed in the approved questionnaire — nothing more, nothing less

Warning

UAT failed? PM documents issues clearly and returns to dev with specific notes. Dev fixes and resubmits. Repeat until UAT passes.

Customer Acceptance

Once UAT passes, the PM demos the automation to the customer — via a short video call or a recorded Loom walkthrough.

Note

The customer accepts by sending an email confirming they are happy with the delivered automation. File this email in the Notion project page under Documents.

After acceptance:

  • Acceptance email filed in Notion → Documents
  • PM updates Notion Delivery Tracker: workflow marked ✅ Live
  • Dev partner deploys to production

Go-Live

  1. Dev confirms live in Discord #dev
  2. PM sends go-live confirmation email to customer
  3. PM sends customer satisfaction survey
  4. PM posts milestone in Discord #wins
